How to set up Dashboard Templates

Build a Dashboard Template step by step: the Manage permission, recipients, rows and widgets, Organization filters, and locking viewers to them.

Overview

Every dashboard in Mobaro is a Dashboard Template. A template sets which widgets appear, how they're laid out, which Organization filters viewers can pick, and who gets the dashboard. There are no separate personal dashboards: if a team needs a different view, you build a template for it.

💡 Why this matters: Different teams need different views of the same data. A maintenance lead wants Assignments, Downtime by Category and Location MTTR MTBF; a park director wants Location Overview and Score Development. Build each view once as a template and every recipient gets it ready to use.


Give a Role template access

1. Open the Role

Go to Roles and edit the Role that should manage templates. See Set up Roles to manage permissions.

2. Tick Manage

In the Dashboard Templates section, tick Manage and save the Role. Users with this Role now see Dashboard Templates in the Organization section of the menu. Super Users have it already.

Create a template

1. Start the template

Open Dashboard Templates and click Create (the + icon). The editor opens with the Configure Dashboard panel.

2. Configure the dashboard

  • Title (required) — the name viewers see under Dashboards in the menu, for example Maintenance — daily review.

  • Description — optional; shown under the title in the editor.

  • Limited recipients to — the Users/User Groups who get the dashboard. Leave it empty and everyone in your organization gets it.

  • Limit available filters to those defined in this template — see Lock viewers to your filters, below.

You can reopen this panel at any time with the Settings (cog) icon.

3. Save

Click the Save icon. The template is live for its recipients as soon as it's saved, so while you build, set Limited recipients to just yourself. Unless you're a Super User, the Dashboard Templates list only shows templates shared with you or with everyone, so keep yourself in Limited recipients to to be able to edit it later.


Add rows and widgets

A template is a series of rows. Each widget takes a share of its row's width, and each row shows how full it is (for example 80% full).

1. Add a widget

Click Add a widget on a row. The side panel lists the widgets by category — Assignment, Average Score, Readiness, Operational, Count, Compliance, RideOps and more. Click one to add it. Widgets too wide for the space left in the row are greyed out. For what each widget shows, see the Dashboard widget catalog.

2. Arrange and size widgets

Drag widgets to reorder them or move them to another row. Use + and − on a widget to resize it, and the delete icon to remove it. Add a new row adds a row at the bottom; the row's menu has Delete Row.

3. Rename a widget

Hover over a widget's title and click the pencil icon to type your own title. Custom titles are saved as part of the selected filter, like the widget's other settings.

Create Organization filters

Organization filters are named presets — Today, Week to date, Coasters only — that viewers switch between from the Filter dropdown. Each filter stores the settings of every widget on the template: Checklists, Locations, time range and custom titles.

1. Add a filter

Open the Filter dropdown in the editor's toolbar and click +. In Add new preset filter, enter a Name. Optionally, use Limited locations/groups in Location Switcher to limit the Locations viewers can pick in the Location Switcher with this filter. Click Save.

2. Set up the widgets

With the filter selected, open each widget's own filter settings and choose what it should show. To change the time range, Checklists or Locations for all widgets at once, use Bulk filtering. Some widgets show nothing until you choose, for example, a Checklist.

3. Save the filter

Click the Save icon. This saves the template and the selected filter. Repeat for each filter. Click the star (Default Filter) to make a filter the one the dashboard opens with; the pencil (Edit preset filter) renames it or changes its Location limit.

⚠️ Heads-up: Widget settings are only kept inside a filter. If you change widgets with no filter selected and click Save, the settings are lost when the template reloads. Select or create a filter first.


Lock viewers to your filters

In Configure Dashboard, tick Limit available filters to those defined in this template to keep viewers on your Organization filters. They can't create new filters: the + in the Filter dropdown, Clear Filter, Bulk filtering and the widgets' own filter controls are hidden. Leave it unticked if viewers should be able to create Personal filters. See Dashboard filters — Organization vs Personal.

🛑 Critical: Widgets show each viewer only the data they have access to. A filter you build as a Super User can look complete to you but empty or partial to a viewer who isn't a member of those Locations. Check the dashboard with a viewer's account before you rely on it for readiness or compliance.


Examples

  • Maintenance — daily review: recipients Maintenance User Group; widgets Assignments, Location Overview and Completed Checklists; filters Today, Yesterday, This week.

  • Park — compliance overview: recipients Leadership User Group; widgets Average Score Per Page, Location Overview, Missed Checklists and Score Development; filters Today, Week to date, Month to date. On a wall screen, Auto Play can cycle through them — see How to use the Dashboard.


Best practices

  • Build one focused template per audience rather than one template with 20 widgets for everyone.

  • Name filters and widgets by what they show — Last 7 days — coasters only, not Filter 1.

  • Put widgets of similar height in the same row; a short widget next to a tall one leaves empty space.

  • Set Limited recipients to on templates with sensitive data before you add the widgets.

  • Test new templates with a viewer's account before sharing them widely.


Frequently asked questions

How do I make a dashboard?

Create a Dashboard Template: Dashboard Templates › Create, add widgets and filters, choose recipients in Limited recipients to, and save. You need Dashboard Templates › Manage or Super User access. Users can't build personal dashboards, but they can save Personal filters.

I set up my widgets, but when I save the template the filters reset. Why?

Widget settings are only saved inside a filter. Select a filter in the Filter dropdown (or create one with +), set the widgets up again, and click Save. Each filter keeps its own widget settings.

Can I copy a Dashboard Template?

No. Templates can't be copied or duplicated. Create a new template and add the widgets and filters again.

How do I change the filters for everyone?

Edit the template's Organization filters: open the template, select the filter, change the widgets and click Save. Use Edit preset filter to rename it. Viewers' Personal filters aren't changed.

The row is 100% full. How do I add another widget?

Click Add a new row, or make other widgets in the row smaller with −. A widget can only be added if its minimum width fits in the space left.

Can I see the dashboard the way another user sees it?

No. There's no "view as" preview. Test with an account that has the same Location access as the viewer, and share the template with that account through Limited recipients to.
