Overview
Every dashboard in Mobaro is a Dashboard Template: you build it once, share it with Users and User Groups, and each recipient sees the same layout and Organization filters with their own data. When you change the template, everyone gets the change.
This article covers sharing and running templates across teams — who sees a template, what viewers can change, how edits and deletions reach everyone, and patterns for many audiences. For the step-by-step build (permission, widgets and filters), see How to set up Dashboard Templates.

💡 Why this matters: When every team builds its own view, "the dashboard" means something different to each person. A shared template gives everyone the same widgets and filters, so a change in reporting needs is made once and reaches everyone at the same time.
How templates reach users
The dashboards under Dashboards in the Backend menu are the templates shared with you. Who gets a template is set in Limited recipients to:
Add Users or User Groups. Templates can't be shared by Role or by Location.
A User gets the template if they're listed or belong to a listed User Group.
Leave Limited recipients to empty and everyone in the organization gets it.
Super Users can open every template, but their menu lists only the templates shared with them or with everyone. Users with Dashboard Templates › Manage who aren't Super Users see only those templates in the Dashboard Templates list too. If every User and User Group in Limited recipients to is deleted from Mobaro, the list becomes empty and the template goes to everyone. If nothing is shared with a User, Dashboards shows No Dashboards are currently available.
A template decides the layout, not the data. Each viewer sees data for the Locations they have access to, so two people can see different numbers on the same dashboard.
Share a template
1. Open the template settings
Go to Dashboard Templates, select the template and click Edit. Click the Settings (cog) icon to open Configure Dashboard.
2. Choose the recipients
In Limited recipients to, add the Users or User Groups who should get the dashboard, or remove the ones who shouldn't.
3. Save
Click the Save icon. Recipients see the dashboard in their Dashboards menu the next time the Backend loads — ask them to refresh the page.
What viewers can change
Viewers can't change a template's layout, widgets or Organization filters, and they can't delete the dashboard. They can:
Create Personal filters with the + in the Filter dropdown, save changes with Save Filter, and star one as their Default Filter.
Star a dashboard as their Favorite Dashboard, the one that opens from Dashboards.
Use Bulk filtering and the Location Switcher.
If the template has Limit available filters to those defined in this template ticked, viewers can't create Personal filters, use Bulk filtering or change the widgets' own filters — they switch between the template's Organization filters. See How to use the Dashboard and Dashboard filters — Organization vs Personal.
How edits reach everyone
Templates have no draft or publish state. When you click Save in the editor, the change applies to every recipient — layout, widgets, Organization filters and recipients. Viewers see it the next time they open or reload the dashboard.
⚠️ Heads-up: You can't preview changes before they go live, and templates can't be copied. For a big redesign, build a new template with Limited recipients to set to yourself, then move the recipients across and delete the old one when the new one is right.
Delete a template
In Dashboard Templates, select the template and click Delete. Mobaro warns that users will no longer be able to use the dashboard.
🛑 Critical: Deleting a Dashboard Template removes the dashboard for every recipient, along with the Personal filters they saved on it. You can't restore it from the Backend. To take a dashboard away from some people only, change Limited recipients to instead.
Patterns for many teams
Tiers: Operator, Manager and Director templates, each shared with a matching User Group — today's tasks for operators, team performance and missed Checklists for managers, cross-park trends for directors.
Departments: one template per department — Rides, F&B, Maintenance, Guest Services — shared with that department's User Group.
Compliance: one template for compliance officers and senior leadership, focused on missed Checklists, low scores and invalidated Results.
Best practices
Share templates with User Groups rather than individual Users, so new starters get the right dashboards when they join the group.
Build templates with general filters — Last 30 days, Week to date — and let each viewer's Location access narrow the data.
Keep one template per audience; merging audiences into one template usually means nobody finds what they need.
Before sharing widely, check the dashboard with a viewer's account.
Frequently asked questions
Someone can't see a dashboard. How do I fix it?
Add them, or a User Group they belong to, in the template's Limited recipients to and save; then they refresh the page. If they see the dashboard but no data, check their access to the Locations it shows.
How do I remove a dashboard from my list?
You can't hide it just for yourself. Someone with Dashboard Templates › Manage can take you out of Limited recipients to — which only works if the template is limited to specific Users or User Groups — or delete the template for everyone.
Can users create their own dashboards?
No. Every dashboard is a Dashboard Template, and building one needs Dashboard Templates › Manage or Super User access. Users can tailor an existing dashboard with Personal filters, unless the template limits filters.
Can I share a dashboard with a Role or a Location?
No. Limited recipients to accepts Users and User Groups only. Put the people in a User Group and share with that, and use the template's filters to focus it on the right Locations.
A colleague sees different numbers on the same dashboard. Why?
Each viewer sees data for their own Location access and selected filter. See How to use the Dashboard.
What happens if I delete a template that has recipients?
The dashboard disappears for all of them, and anyone who opens an old link sees The selected dashboard no longer exists. Their Personal filters on it are lost. You can't restore it from the Backend.
