Overview
Create Copy makes a new Checklist from an existing one, in the same organization or in another organization you belong to. You can copy several Checklists in one go, rename the copies, and remap the people and linked items they refer to. The original isn't changed.
A copy is a new, independent Checklist: it has no Results and isn't on any Schedule until you add it to one.

Who can do this | Super Users, or someone who can edit the original (a Role with Checklists › Modify, or Administrator or Editor of its permission folder) and can create Checklists where the copy goes (a Role with Checklists › Create, or Administrator of the permission folder for a copy in the same organization) |
Where | Checklists › select one or more Checklists › Create Copy |
Works on | Backend (web) |
Availability | All organizations. Copying to another organization needs access to both. |
💡 Why this matters: Rebuilding a similar Checklist from scratch is slow and error-prone. Copying keeps the structure, scoring, logic and triggers, so a new variant, or the same Checklist in another organization, takes a few edits instead of a full rebuild.
Copy a checklist
1. Select the Checklists to copy
Go to Checklists.
Select the Checklist, or several Checklists to copy them together.
Click Create Copy in the toolbar.
2. Choose the destination organization
In the Copy Checklist dialog, pick the Destination Organization. This field only appears if you belong to more than one organization; otherwise the copy stays in your organization. Each copy goes to one organization; repeat the copy for others.
3. Name the copies
On the Namings tab, check the New name next to each Original name. In the same organization, the copy is named Copy of plus the original name; in another organization, it keeps the original name.
4. Map people and linked items
Click Next. The Mappings tab appears when the Checklist refers to people or items that need a match. For each Source, choose a Destination: Users or User Groups (for example trigger assignees), Checklists (for example in Ad Hoc Slot triggers) or Competencies. In the same organization each mapping starts as the original, so change only what should differ.
5. Copy
Click Copy. A progress bar shows while the copies are created. If some fail, a message lists them; check the mappings and try again.
What a copy includes
A copy keeps the pages, elements, scoring, logic and triggers, with people remapped as you chose. You become its creator, and its Activities show Copied from the original. A copy in the same organization also keeps its Categories, Folders, Library items, Question Categories and permission folder.
When you copy to another organization, the Mappings tab warns about what doesn't carry over:
Manuals, videos and links from the Library.
Question Categories.
Checklist categories and Checklist folders.
Logic based on Location Properties.
Assignment categories on Assignment Triggers.
Assignment Triggers targeting a specific assignment definition, which are converted to target the default assignments.
⚠️ Heads-up: A copy in another organization is created at the top level, outside any permission folder, so you need Checklists › Create there. After copying, re-add the Library items, categories and Location Property logic you need, and check every Assignment Trigger.
Best practices
Keep a template Checklist per type and copy it, so settings, logic and triggers stay consistent across your program.
Use a clear naming convention (not just Copy of) so originals and copies are easy to tell apart in reports.
After copying, open the copy, check its triggers and logic, then add it to a Schedule.
Frequently asked questions
Can I copy a page or question from one checklist into another?
No. Copy page and Copy element only work inside the same Checklist. Copy the whole Checklist instead and remove what you don't need. See How to create a checklist.
Can I merge two checklists into one?
No, there's no merge. Copy the Checklist you want to keep, then rebuild the extra pages from the other one in the copy. Update your Schedules to use the new Checklist.
If I replace a checklist with a copy, do I lose its results?
No. Past Results stay with the original Checklist, and the copy starts with none. Add the copy to your Schedules and remove the original from them.
Why can't I move my copied checklist to another permission folder?
You can only move a Checklist into a permission folder where you're allowed to create Checklists, and you need to be able to administrate the Checklist. See Utilizing checklist permission folders.
