Set up Inventory (early access): how it is enabled, who can use it, and how to create, edit and delete the Warehouses that hold your stock.

Overview

Inventory tracks your stock of materials, such as spare parts and consumables, across the Warehouses that hold them. Before your teams can track stock, Mobaro turns Inventory on for your organization and you create your Warehouses.

This article covers how Inventory is enabled, who can use it, and how to create, edit and delete Warehouses.

🚀 Early access: Inventory is an early-access feature. Mobaro turns it on for your organization. Until then, Inventory shows greyed out in the Backend menu with the message Inventory Management is not enabled for this organization. Contact Mobaro to enable it.

💡 Why this matters: Setting up Warehouses that match the places you really keep stock means quantities land in the right place from day one, and the Warehouse lists your teams pick from stay short and recognizable.


What setup involves

  • Enable Inventory: Mobaro turns on Inventory Management for your organization.

  • Create Warehouses: the places that hold stock. Only Warehouses you create can hold stock.

  • Add materials and stock: build your catalogue and record what each Warehouse holds — see Products and Categories, or load a spreadsheet with Importing your Inventory data.

ℹ️ Note: In the Backend, stock items are called materials, each identified by an SKU. Some older Inventory articles call them Products and Codes.


Who can use Inventory

Once Inventory is enabled, every user who can sign in to the Backend can open it and create, edit and delete materials, categories and Warehouses, and add, adjust and transfer stock. There's no Role permission to limit this. Creating a requisition from an Assignment needs permission to modify that Assignment — see Requisitions.


Create a Warehouse

1. Open Warehouses

In the Backend, go to Inventory › Warehouses.

2. Click Create warehouse

Enter a Name your teams recognize, for example Main Stores or Water Park Workshop.

3. Choose a target

To tie the Warehouse to the part of your site it serves, turn on Target to a location and choose the Location. Leave it off for a Warehouse that only stores stock. In the list, the Target column shows the Location, or Storage only.

4. Click Save

The Warehouse is ready to hold stock straight away.


Edit a Warehouse

In Inventory › Warehouses, select the Warehouse and click Edit warehouse. Change its Name or target and click Save. Editing doesn't move stock: the quantities held there stay as they are.


Delete a Warehouse

You can only delete a Warehouse when no material has a stock row in it. A row stays after you transfer all its stock out, even at a quantity of 0, so transferring alone isn't enough.

1. Remove the stock rows

For each material stocked in the Warehouse, open the material from the Inventory page. In its list of Warehouses, use Transfer to move any stock you want to keep, then select this Warehouse's row and click Delete. The confirmation asks Are you sure you want to delete this warehouse? and you type the Warehouse's name, but it only removes this material's stock row. Any quantity left is written off to zero, recorded in the stock history, and the row is removed.

🛑 Critical: Deleting a stock row writes off whatever quantity is left in that Warehouse, and it can't be undone. Transfer stock you want to keep before you delete the row.

2. Delete the Warehouse

In Inventory › Warehouses, select the Warehouse, click Delete warehouse and type the Warehouse's name to confirm. If any stock row remains, Mobaro refuses: A warehouse that holds stock cannot be deleted. Move or write off its stock first.

Best practices

  • Create only the Warehouses you actually keep stock in, so the lists your teams pick from stay short.

  • Target Warehouses that serve one area to its Location, so it's clear where their stock is used.

  • Keep a Warehouse that's only out of use for a while, such as a workshop closed off-season. Deleting it means removing every stock row and setting it up again later.


Frequently asked questions

How do I get Inventory (early access)?

Contact Mobaro — your Customer Success Manager or Mobaro Support — to have Inventory Management enabled for your organization. Until it's on, Inventory shows greyed out in the Backend menu.

Where is Inventory in Mobaro?

In the Backend's main menu: Inventory, with Warehouses under it. Materials and the category tree are on the Inventory page. If Inventory is greyed out, it isn't enabled for your organization yet.

How do I create categories in Inventory?

Categories are a tree on the Inventory page, next to the materials list, not a separate page. See Products and Categories.

Is the location or asset tree connected to Inventory?

Partly. A Warehouse can be targeted to a Location, and requisitions are raised from Assignments. Materials and stock aren't linked to Assets.

What happens to stock if I delete a Warehouse?

You can't delete a Warehouse while any material has a stock row in it, even at 0. Transfer what you want to keep, delete the Warehouse's row on each material, which writes off the rest, then delete the Warehouse.

Can I restrict who can use Inventory?

No. Once Inventory is enabled, every Backend user can manage materials, Warehouses and stock; there's no Role permission for it. Only creating requisitions depends on Assignment permissions.
