Editing and maintaining your checklists

Edit a Checklist in place, see what an edit affects, back it up as a PDF, and delete it safely.

Overview

Checklists change as your operation changes: you refine wording, add questions, reorganize pages and retire Checklists you no longer need. This article covers editing an existing Checklist, what an edit affects, backing a Checklist up as a PDF, and deleting it safely.

Editing happens in place. When you click Save, the live Checklist changes straight away and every Schedule that uses it gets the new version. There's no draft, publish or version-restore step.

💡 Why this matters: One well-maintained Checklist can serve many Schedules and Locations, so a single edit reaches all of them. That makes each edit powerful, and deletion even more so.


Edit a checklist

1. Open the Checklist

Go to Checklists, select one Checklist and click Edit.

2. Make your changes

Update pages, elements, logic, triggers or scoring. You can:

  • Drag and drop elements to reorder them within a page or move them to another page.

  • Use Copy page or Copy element to duplicate an item inside the same Checklist, or Delete page and Delete element to remove one. A Checklist always keeps at least one page.

  • Use Bulk change to change the assignee, subscribers or definition of every Assignment Trigger in the Checklist at once.

  • Open Settings for Checklist-level options such as languages and question defaults. See Configuring checklist settings.

3. Save

Click Save. To throw away everything you changed since the last save, click Undo all changes instead.


What an edit affects

  • Schedules: every Schedule that uses the Checklist uses the saved version. Settings › Usages lists those Schedules.

  • Submitted Results: not changed. Each Result is stored against the revision of the Checklist it was completed on.

  • History: each save is recorded in Settings › Activities as Changed the checklist., with who and when.

To change several Checklists at once, select them and use Edit (Edit multiple checklists) or Bulk edit categories and folders. Back up a checklist as a PDF

  1. Select one Checklist and click Backup Preview, then Download PDF.

  2. Or select up to 5 Checklists and click Export Backup. With more than 5 selected, the export stops with an error (it reads Maximum 5 results can be exported at a time).

  3. Choose what to include, such as Show page and question logic, Show question triggers or Show compact layout, and click Export.

The backup is a PDF record of the Checklist's structure, useful for printing, review or audits. It can't be imported back into Mobaro. To export completed Results instead, see Exporting Results.


Delete a checklist

Select one or more Checklists and click Delete. The dialog asks Are you sure you want to delete this checklist? and lets you add a Comment (optional). Click Yes to delete.

🛑 Critical: Deleting a Checklist can't be undone in Mobaro. The dialog only mentions Schedules, but Mobaro also removes the Checklist from every Schedule and from Calendar Schedule slots that haven't ended yet, from triggers in other Checklists, from notification rules and from certification processes. Download a backup and export any Results you need to keep first, and check Settings › Usages to see which Schedules use it.


Best practices

  • Keep a template Checklist per type (daily maintenance, annual PM, training) and start new ones with Create Copy, so settings, triggers and logic stay consistent.

  • To retire a Checklist, remove it from its Schedules (and any Certification Process that uses it) first. Staff get Checklists in the app through these, so this takes it out of use without deleting it.

  • Before a large edit, download a backup with Backup Preview so you have a record of the previous structure.


Frequently asked questions

Can I recover a checklist I deleted by accident?

Not yourself. Deleting can't be undone in the Backend, and there's no trash or restore option. Contact Mobaro Support with the Checklist's name and when it was deleted; recovery needs engineering help and isn't guaranteed.

Will editing a checklist change results that were already submitted?

No. Submitted Results keep the answers and the Checklist revision they were completed on. Your edit applies to Checklists completed after you save.

How can I see who last edited a checklist?

Open the Checklist in the editor and click Settings. The Activities section lists who created the Checklist and each Changed the checklist. entry, with the person and time.

How do I stop a checklist from being used without deleting it?

Remove it from the Schedules that use it, listed in Settings › Usages. Staff get Checklists in the app through Schedules, or through a Certification Process if it's used for one. See How to schedule a Checklist.
