Creating and managing your Library

Add manuals, videos and links to the Library, organize them in folders, and attach them to Checklist questions.

Overview

The Library is where Mobaro keeps reference material — manuals (PDFs), videos and links — organized in folders. You attach Library content to Checklist questions, so operators can open the right manual page or training video while they work. When a manual changes, you update it once in the Library and every question that uses it shows the new file.

This article covers adding content and attaching it to Checklists. Who receives Library content in the mobile app and on RideOps is set on each folder — see Use permission folders in the library.

💡 Why this matters: Without the Library, every Checklist that needs a manual carries its own copy, and a manufacturer update means finding and replacing each one. With the Library, you replace the file once and every linked question uses it.


What the Library holds

⚠️ Heads-up: Manual files must be PDFs. Remove any password from a PDF before uploading, or it can't be split into Sections. Manual and version names can't contain . / @ : ; or ~. Link URLs must start with HTTP, HTTPS or FTP.


Set up Library folders

Plan your folders before uploading, so content stays easy to find on a phone.

1. Open the Library

Go to Library in the Backend menu.

2. Create a folder

Select where the folder should go — your organization at the top, or an existing folder to make a sub-folder — and click Create Folder. In Create new directory, enter a Name such as Ride manufacturer manuals or Aquatics SOPs.

3. Set who receives it

Add Publish Recipients and, if needed, Publish Targets, then click Save. These decide who gets the folder's files in the app and on RideOps; see Use permission folders in the library. To change a folder later, select it and click Edit.


Add a manual

1. Start the manual

Select the folder, click Create (the + icon) and choose Manual.

2. Name it

Enter a Name and, optionally, a Description. Operators see the name in the app, so be specific: Coaster X — Operator manual v3.2 beats manual.

3. Upload the PDF

Under Versions, the manual starts with one version. Upload the PDF there. Use Add Version for another version, and Sections to mark page ranges you want to link to separately.

4. Save

Save the manual. It can now be attached to Checklist questions. To replace the file later, edit the manual and upload the new PDF in its version.


Add a video

1. Start the video

Select the folder, click Create and choose Video. Enter a Name and, optionally, a Description.

2. Add the video link

Click Add Version and paste the URL of the video on YouTube or Vimeo. Give the version a Version Name if you'll have several, for example one per language. Save the video.


Attach content to a question

1. Open the question

Open the Checklist in the Checklist editor and select the question. See How to create a checklist.

2. Add the content

In the question's Manuals, Videos or Links section, click the Add Manual, Add Video or Add Link icon, and pick the item from the Library folders.

3. Choose a section

For a manual with Sections, choose a Section to open only those pages, or The Entire Manual. Click OK, then save the Checklist.

Content attached to a question is always delivered to the Users who get that Checklist, whatever the folder's publishing settings.


Delete Library content

🛑 Critical: Deleting a manual, video or link removes it from every Checklist question that uses it. Deleting a Library folder also deletes all of its sub-folders and every manual, video, and link in them. Neither can be undone. Move anything you want to keep before you delete.


Best practices

  • Organize by content type first, then by department or ride: Manufacturer manuals › Coasters, Internal SOPs › Maintenance, Training videos › New hire.

  • Keep folders shallow — operators browse them on a phone.

  • Split long manuals into Sections, so a question opens only the pages it needs.

  • Replace files in the existing manual instead of uploading a new one, so every linked question stays current.


Frequently asked questions

How do I add documents to the Library?

Select a folder, click Create, choose Manual, name it and upload the file. Only PDF files are accepted; save other documents as PDF first. For web pages, add a Link instead.

How do I add a sub-folder?

Select the folder it should sit in and click Create Folder. A sub-folder inherits the Publish Recipients of the folders above it.

Users can't see the files in the Library. Why?

The folder's publishing settings decide who receives its files in the app and on RideOps. See Use permission folders in the library.

Can I upload a video from my computer?

No. Videos must be on YouTube or Vimeo, and the Library stores the link. For internal videos, upload them to one of those services with a sharing setting that lets your operators watch them.

What happens to my Checklists if I delete a manual?

Checklists lose their reference to it: the manual is removed from every question it was attached to, and this can't be undone. To update a manual, upload a new file to it instead of deleting it.
