Configure deviations to trigger result validations

Send only deviating Results to validation: tick a Schedule's deviation options, change many Schedules at once, and see what happens when a Result is flagged.

Overview

A Schedule's Compliance settings can send a Result to validation only when something went wrong — a score below the maximum, an answer given too far from the Location, a late or rushed completion, a missing competency, or a Water Quality reading outside its rule. Flagged Results wait as Awaiting Validation until a Reviewer approves or disapproves them; the rest need no review.

💡 Why this matters: Catching a deviation only helps if someone acts on it. Routing deviating Results to validation means a second person reviews exactly the checks that went wrong — instead of trusting every Result, or reviewing all of them.


The deviation options

Tick any combination. A Result is flagged if it breaks at least one of them:

  • Require correct GPS location — answers given outside the Location's radius.

  • Require timely answer — Results completed after the slot's deadline. Calendar Schedules and Ad Hoc Slots only.

  • Require maximum score — Results scoring below 100%. The Checklist must use scoring.

  • Require minimum answer duration — Results completed faster than the time you set.

  • Required Competencies — Results completed by Users without the listed competencies.

  • Require validation on rule deviation — a Water Quality reading outside its ruleset's range.

Mark all results as requiring validation is the alternative: it flags every Result, whatever happened.

ℹ️ Note: Require validation on rule deviation only appears if your organization has Water Quality functionality, which Mobaro switches on. Without it, the option isn't shown on Schedules, Ad Hoc Slots or the bulk-change dialog. See Understanding validation warnings and failures.


Set up deviation-based validation

1. Open the Compliance section

In the Backend, go to Schedules, open the Schedule and go to its Compliance section. For an Ad Hoc Slot, open Configure Ad Hoc Slot › Compliance.

2. Tick the deviation options

Tick the options that should flag a Result. For Require minimum answer duration, also set the minimum time. Calendar Schedules and Ad Hoc Slots show every option; Continuous Schedules don't offer Require timely answer.

3. Add Reviewers and save

Make sure the Schedule has Reviewers who can validate, then click Save. If a Schedule has no Reviewers, only Super Users can validate its Results. See How to validate Checklists.


Change many Schedules at once

On Schedules, select the Schedules, open the bulk-change menu and choose Bulk Change Compliance Settings.

For each setting choose Enable, Disable or Do not change, click Update selected values and confirm. See How to bulk change assignees and compliance settings on schedules.

🛑 Critical: A bulk change applies to every selected Schedule and can't be undone. To revert, you have to run another bulk change, so check your selection before you confirm.


What happens when a deviation occurs

  • For some deviations, such as answers out of the GPS radius or missing competencies, the app shows a Deviations screen when the User finishes. They can add an optional explanation for the Reviewer.

  • The Result is marked Awaiting Validation. The Deviations section of the Result's Compliance page shows what flagged it — see The Compliance page in Result reports.

  • Reviewers see it waiting for review, and those with the Result requires validation/review notification turned on are notified.


Best practices

  • Use deviation options instead of Mark all results as requiring validation, so Reviewers focus on the Results that need attention.

  • Add User Groups as Reviewers, so validation keeps working when people change shifts.

  • Set a realistic minimum duration: a Checklist that takes 20 minutes when done properly might use 10 as the minimum.


Frequently asked questions

How do I see why a result needs validation?

Open the Result and check the Deviations section of its Compliance page. If none are listed, the Schedule probably has Mark all results as requiring validation ticked. See The Compliance page in Result reports.

Can Mobaro automatically reject a checklist that scores below a certain score?

No. Require maximum score flags any Result below 100% for validation; a Reviewer then approves or disapproves it. There's no score threshold that rejects or invalidates Results automatically.

Can I stop users completing a checklist when they're not at the location?

No. Require correct GPS location doesn't block anyone. Answers outside the Location's radius are flagged and the Result goes to validation. See Schedule compliance settings.

Why can't I see Require validation on rule deviation?

Your organization doesn't have Water Quality functionality. The option only appears when Mobaro has switched it on — contact Mobaro Support.

Does Require minimum answer duration show how long a checklist took?

No. It compares each Result's Started and Answered times with your minimum and flags Results that were faster. To record time spent, use Enable Time Registration — see Schedule compliance settings.
