Adding reminders to Schedules

Add push reminders to Patterns, Specifics, master Calendars and Ad Hoc Slots: who gets them, when they're sent, and why one might not arrive.

Overview

A reminder is a push notification sent to a slot's assignees at a time you choose, if they still haven't completed the Checklist. Use reminders to nudge people before the deadline, so fewer Checklists go missing.

You add reminders to the slots of a Calendar Schedule — its Patterns and Specifics — to a master Calendar, or to an Ad Hoc Slot. They work on their own: you don't need an availability notification rule.

💡 Why this matters: An availability push tells people a Checklist has opened; a reminder catches the ones who haven't got to it yet. A reminder an hour before the deadline is often the difference between a late check and a Missing Result.


How reminders work

  • Who gets it: the slot's assignees — assigned Users and members of assigned User Groups — who are members of the Checklist's Location. Reviewers and Owners don't get it unless they're also assignees.

  • What it says: the title shows the deadline, such as "Deadline today at 3:00 PM", and the text names what's still open, such as "Daily Inspection is still available for Big Wheel."

  • Only if it's not done: Checklists already completed at that Location are left out. If everything is done, nothing is sent.

  • Timing: reminders go out in 5-minute intervals, so one can arrive a few minutes after the time you set.

  • Push only: the assignee must be signed in to the Mobaro app on a device that allows its notifications. Personal notification settings don't turn reminders on or off, and there's no email version.

ℹ️ Note: If a slot has a grace period, assignees who haven't finished also get a Checklist(s) Overdue push at the deadline — you don't need a reminder for that. A reminder set inside the grace period arrives as that overdue push. See Adding Grace Periods to Schedules and Calendars.


Add a reminder to a Pattern

1. Open the Patterns

Go to Schedules, select the Calendar Schedule and click Edit, then Patterns. For a master Calendar, start from Schedules › Calendars.

2. Add the reminder

On the Pattern, click Add reminder, choose a time of day and click Add reminder in the dialog. Repeat for more reminders. The time applies to every day the Pattern runs.

3. Save

Click Save Changes.

If a slot comes from an inherited master Calendar, Mobaro tells you it's Defined by another calendar and offers Go to calendar. Add the reminder there; it applies to every Schedule that inherits the Calendar.


Add reminders to a Specific

In the calendar view, click a date or an existing Specific to open Configure Specific, then click Add reminder and pick a date and time. Click Save Changes.

To reuse reminders, click Copy on one Specific and Paste on another. Or tick Use values as preset when creating new specifics, and the next Specific you create gets the same times, grace period and reminders.

Add reminders to an Ad Hoc Slot

Go to Schedules › Ad Hoc Slots and create or open the slot. In General, under Reminders, click Add reminder and pick a date and time, then click Save. See How to use Ad Hoc Slots.

When you reschedule a Missing Result in the Backend, the reschedule dialog has the same Reminders option. A reschedule from the mobile app gets no reminders.


Limits

  • A reminder must fall inside its slot, between the start and the end — including any grace period. The picker only offers times in that window.

  • If you later shorten or move a slot, reminders that no longer fit inside it are dropped when you save.

  • You can only change slots that are in progress or in the future.

  • Continuous Schedules have no slots, so they can't have reminders.


Best practices

  • Set a reminder well before the deadline — for example an hour — so there's time to act on it.

  • Put shared reminders on the master Calendar, so every inheriting Schedule gets them.

  • After changing a slot's times, reopen it and check its reminders are still there.


Frequently asked questions

Where do schedule reminders go?

To the slot's assignees, as a push notification in the Mobaro app — only those who are members of the Checklist's Location. There's no email, and Reviewers and Owners don't get it unless they're assignees.

Why am I not getting reminders?

Personal notification settings don't control them. Check that the slot has a reminder, that you're an assignee (directly or through a User Group) and a member of the Location, that the Checklist isn't already done, and that you're signed in to the app with notifications allowed.

Can I set a reminder for checklists that are due but haven't been completed?

Yes — that's exactly when reminders fire: only Checklists not yet completed at that time are included. Reminders go to assignees, not managers. To alert someone when a Checklist is missed, see Create and manage Notification Rules.
