Overview
A Work Forecast Report is a Notification Rule that emails each recipient a list of the work assigned to them — directly or through a User Group — for the current day, week or month: scheduled Checklists still to do, done or missed, and open and completed Assignments. Where a Summary Report counts what happened, a Work Forecast tells each person what they have to do.
This article covers the Work Forecast Report only. For the other rule types and how rules are managed, see Create and manage Notification Rules.

💡 Why this matters: Overdue work and missed Checklists are often a visibility problem. A forecast in the inbox each morning, or each Monday, shows every person what is on their list, so nothing comes as a surprise.
What's in a Work Forecast
The email, titled Work Forecast unless you set your own subject, shows the period it covers and the recipient's work in up to five lists:
Assignments and Completed Assignments — Assignments in the period that the recipient is assigned to. Open high-priority Assignments are always listed, whatever their dates.
Checklists — scheduled Checklists still to do.
Completed Checklists and Missing Checklists — scheduled Checklists in the period that are already done, or whose deadline passed without a Result.
Checklists come from Calendar Schedules and Ad Hoc Slots. Continuous Schedules have no slots, so their Checklists never appear.
ℹ️ Note: Each forecast is personal. A recipient only sees work assigned to them or their User Groups, at Locations they're a member of. If they have nothing in the period, no email is sent to them.
Set up a Work Forecast Report
1. Start the rule
Go to Notification Rules, click the + button (Create) and choose Work Forecast Report. The setup has four steps — Recipients, Targets, Scheduling and Name. Use Next and Previous to move between them.
2. Choose recipients
In Recipients, add the Users and User Groups who should receive the forecast. At least one is required.
3. Limit to Locations
In Targets, optionally add Locations or Location Groups. Leave it empty to include every Location. Either way, each recipient only gets work at Locations they're a member of.
4. Set the schedule
In Scheduling, fill in:
Weekdays — the day or days the forecast is sent. It's sent at the start of each chosen day.
Period — Day, Week or Month. It's always the current one: the day the forecast is sent, the week that day falls in, or the current calendar month.
Start of Week — for Week only, the weekday your week starts on.
Which items should be included? — see the table below.
What time zone? — decides when days start and end and how dates are shown. It's only asked when more than one time zone is available.
Option | Includes |
Only items where their deadline is within the selected period | Work that is due in the period. An item that starts in the period but is due later is left out. |
All items that are available in the selected period | Anything open at any point in the period, even if it's due later — for example a monthly Checklist. |
5. Name and create
In Name, Mobaro suggests a name such as "Send Work Forecast to …" — change it if you like, and add an optional Description. Enter a Subject (optional) to replace the default subject, Work Forecast. Click Create. To pause the rule later, select it in Notification Rules and click Disable.
⚠️ Heads-up: The first forecast is sent on the next chosen weekday after the day you save, never straight away. Saving changes to the rule also moves the next send to the next chosen weekday after today.
Best practices
Match the period and weekdays to the team's rhythm: Day sent every working day for frontline crews, Week sent on the first day of the week for maintenance planners.
Use All items that are available in the selected period when long-running work such as monthly inspections should show while it's open; use the deadline option to focus on what's due.
Assign Schedules and Assignments to User Groups and add those groups as Recipients, so the rule stays current as teams change.
Pick the time zone of the Locations you forecast for, so days start and end when your teams expect.
Frequently asked questions
Can I get a work forecast for next month for a user group?
No. Month always covers the current calendar month, so you can't forecast a later month in advance. A Month forecast sent on your chosen weekdays lists the whole current month for each recipient.
How do I get a report of scheduled PM's due in a certain period?
Create a Work Forecast Report with Period set to Week or Month and Only items where their deadline is within the selected period, and add the maintenance team as Recipients. Custom date ranges aren't available.
I set up the forecast but didn't get it today. Why?
It's only sent at the start of your chosen weekdays, starting with the next one after you save. Also check the rule isn't disabled and that you have work assigned to you, at your Locations, in the period — otherwise no email is sent.
Can it email me the missing checklists for a location?
Partly. The forecast lists Missing Checklists from the current period, but only those assigned to the recipient. For missed counts across Locations, use a Summary Report.
What language is the work forecast in?
Each recipient's own language setting, or English if they haven't set one. The rule has no language setting of its own.
What's the difference between a Work Forecast and a Summary Report?
A Work Forecast lists the work assigned to each recipient; a Summary Report counts what happened at Locations. See the Report selection guide.
