Overview
A Role decides what a User can do. Location membership decides which Locations' Results, Assignments, Notes, Gallery images and Downtime they see, and which Locations' Checklists the Mobaro app shows them. This article shows how to make a User a member of a Location.

💡 Why this matters: "I gave them the Role but they still can't see the ride" is the most common access question. The Role was rarely the problem: the User wasn't a member of that Location.
Ways to make someone a member
Where you add them | What it does |
Direct Memberships on a Location | Adds Users or User Groups to one Location. Best for one-off access. |
A Location Group | Adds Users or User Groups to every Location in the group and in its sub-groups. Best for team access at scale. |
A User Group that's already a member | Adding a User to the group makes them a member of all the group's Locations. Change the team, and access follows. |
Membership adds up: a User is a member of a Location if any of these includes them. Only Super Users can add Locations in the User editor or the User Group editor. Everyone else adds the User or User Group from the Location or Location Group.
The Locations › View Role permission doesn't make anyone a member. See Understanding Location Permissions.
Add members to a Location
1. Open the Location
In the Backend, go to Administrate › Locations, select the Location and click Edit.
2. Add Users or User Groups
Under Direct Memberships, add the Users or User Groups that should be members. You can also add the Location to Location Groups here. Inherited Memberships lists who is already a member through a Location Group.
3. Save
Click Save. The added Users see the Location's records straight away, subject to their Roles.
Add members to a Location Group
1. Open the Location Group
Go to Administrate › Location Groups, select the group in the tree and click Edit.
2. Add Users or User Groups and save
Under Direct Memberships, add the Users or User Groups, then click Save. They become members of every Location in the group and in its sub-groups, including Locations added later.
✅ Best practice: Mirror your real zones in Location Groups, and add User Groups to them. When a new ride opens, adding it to the zone's Location Group gives the whole team access. See How to create Location Groups.
Check or remove membership
To check why someone can or can't see a Location, open the User in Users. Direct Memberships lists the Locations they were added to directly. Inherited Memberships lists memberships gained through User Groups or Location Groups.
To remove access, remove the User from the Location, Location Group or User Group that gives it. Membership has no end date, so remove temporary access when it's no longer needed.
Example: a technician in one zone
A maintenance technician should work on the East-zone rides only. They hold a Maintenance Technician Role with Assignments › View and Modify, and they're in the Maintenance — East User Group, which is a member of the East Zone Location Group. They see Assignments at every East-zone Location and nothing in the West. When a new East ride is added to East Zone, they get it automatically. Move them to the West group and their Locations change, with no Role change.
Best practices
Give membership through User Groups and Location Groups rather than User by User.
Use Direct Memberships on a single Location only for one-off or temporary access, and remove it afterwards.
Don't use Locations › View to give someone a Location's data. Make them a member instead.
Frequently asked questions
Why can't I add locations or direct memberships in a user's profile?
Only Super Users can change a User's Roles, User Groups and Locations in the User editor. With Locations › Modify, open the Location and add the User under Direct Memberships instead.
What's the difference between direct and inherited memberships?
A direct membership is where the User or User Group was added itself. An inherited membership comes through a User Group or Location Group. Both give the same access.
If I add a user group to a location group, do I also need to add each ride?
No. Every member of the User Group becomes a member of every Location in the Location Group and its sub-groups. Add the User Group from the Location Group's Direct Memberships.
How do I give a technician access to one ride in another zone for a while?
Open that ride's Location and add the technician under Direct Memberships. Their other memberships stay as they are. Remove them when the cover ends, because membership has no end date.
I gave the user the right role, but they still can't see a location's results. Why?
They aren't a member of that Location. Add them, or a User Group they're in, as described above. See How access works in Mobaro.
