Overview
When someone says "my Checklist isn't in the app", the Checklist almost always exists: the app is either filtering it out on the phone, or the Schedule doesn't give that person the Checklist at that Location right now. This article takes you through the checks in order, first on the phone, then in the Backend.
For how to complete a Checklist once you can see it, see Completing a checklist in the Mobaro mobile app.

💡 Why this matters: A pre-opening check nobody can see is a check nobody completes. On a critical Checklist that keeps the ride from being ready and ends as a Missing Result.
What the app shows
The CHECKLISTS tile lists a Checklist when all of these are true:
You're an assignee. You, or a User Group you're in, is in the Schedule's Assigned to. Being a Reviewer or Owner isn't enough, and Super User status doesn't add Checklists.
You're a member of the Location. Directly, through a User Group, or through a Location Group the Location belongs to.
You can start it now. On the Planned tab, a Calendar or Ad Hoc slot appears once it opens and disappears when it ends, or once a completed Result for that slot and Location reaches Mobaro, whoever submitted it. Checklists that open later today or in the coming days are in the CALENDAR tile. Continuous Checklists are always on the Continuous tab.
It's on the phone. The app works from a copy of your Checklists. New Schedules and changes only arrive when the app refreshes online.
For the setup side, see What you need before you can schedule a Checklist.
Check the app first
1. Refresh the app
With a connection, tap the refresh icon at the top left of the home screen. The home screen then shows Refreshed just now, and later Refreshed at with the time. Couldn't refresh. means the app is still showing older data: check the connection and try again. The app also refreshes on its own once its copy is more than 15 minutes old.
2. Look on both tabs
In CHECKLISTS, switch between Planned and Continuous. Each tab shows how many Checklists it holds. If Group By is set to Folder or Location, open the folder or Location, too.
3. Clear the search and filters
Empty the Search box. Then tap the filter icon and check Checklist Filtering:
Locations: only the Locations you pick are shown.
Categories: a Checklist must have every selected category, not just one.
Location Group: only Locations in that group (and its sub-groups) are shown, here and on the other app screens. The list shows Filtered to with the group's name while it's on.
⚠️ Heads-up: Clear resets Locations, Categories and Group By, but not the Location Group. To remove it, tap Location Group (or Location Group Filter in your Profile) and select No Location Group. Picking a group needs a connection; offline, the app only offers Clear Filter.
4. Zoom out the map
If Map for checklists is on in your Profile, the Planned list only shows Checklists at Locations inside the visible map area. Zoom out, or turn the map off.
5. Check the organization and app version
If you work for more than one Mobaro organization, the app only shows the active one: use Change Organization in your Profile. Then update the app. Older versions don't receive some Checklists, such as those scheduled on Assets. See How to download and update the Mobaro mobile app.
Check the setup in the Backend
If the phone checks don't help, ask someone who can edit the Schedule to open it in Schedules:
Cause | Check | Fix |
Not an assignee | Who? › Assigned to | Add the User or, better, their User Group |
Not a member of the Location | The Location's memberships, and the User's User Groups | Add the User or their group to the Location. See How access works in Mobaro |
Wrong target | Where?: the Location or Location Group, and any Exclusions | Add the Location, or remove the Exclusion |
No slot open now | The Schedule's slots and the Calendar's times for today | Add a slot, or turn on Allow early start. See Calendar schedules — setup and behavior |
Only a Reviewer or Owner | Who?: the person is under Reviewers or Owners only | Add them to Assigned to if they should complete it |
After any change, the person refreshes the app with a connection. To check a whole Schedule at once, see How to schedule a Checklist.
It shows but won't open
The app says | What it means |
This checklist has been answered already. | That slot at that Location is already done: someone completed it, possibly a colleague on another device, or your own Result is still in the upload queue. Check the connection tile on the home screen. See Working online versus offline with Mobaro. |
This checklist is not assigned to you at this location. You can see this checklist because you are a reviewer of its schedule. | You opened it from LOCATION OVERVIEW, where Checklists you can see but aren't assigned show too. Only assignees can complete it. |
You can not enter this checklist right now. It has passed its deadline, or it is available later. | The slot hasn't opened yet or has ended. |
Missing Competencies | The Schedule requires Competencies you haven't been awarded. Tap Start anyway if it's offered; if the Schedule enforces them, you can't start it. |
You seem to be offline, but this checklist is not available offline. | Its images or PDFs aren't on the phone yet. Get online, or use Download for offline beforehand. |
Best practices
Assign Schedules to User Groups, and make the same groups members of the target Locations.
After changing a Schedule, ask one assignee to refresh the app and confirm the Checklist appears before you rely on it.
Tell staff who use the Location Group Filter that it hides Checklists outside that group.
Refresh the app online at the start of each shift, before going somewhere with poor signal.
Frequently asked questions
I created and scheduled a checklist, but my team can't see it in the app. Why?
Usually they aren't in Assigned to, aren't members of the Location, or no slot is open yet. Check those in the Schedule, then have them refresh the app online. Upcoming slots show in CALENDAR, not CHECKLISTS.
I made a continuous schedule and assigned it to myself, but it's not under the Continuous tab. What's wrong?
You also need to be a member of a Location the Schedule targets. Check the Schedule's Where? and your Location memberships, then refresh the app. Also clear any Location Group or Categories filter.
The daily checklist is missing on all our tablets this morning. What should we do?
Check the Schedule has a slot for today and its Calendar wasn't changed, then refresh one tablet online. If the slot exists and every device still misses it, contact Mobaro Support with the Schedule's name and the time.
The app says the checklist has been answered already, but I can't find the result. Where is it?
Either a colleague already completed that slot, or your Result is still on the phone waiting to upload. Check the connection tile, get online and keep the app open. Don't uninstall the app: that deletes anything not yet uploaded.
I'm a Super User. Why don't I see every checklist in the app?
Super User status doesn't add Checklists to the app. You see a Checklist only where you or your User Group is an assignee, at Locations you're a member of. Use the Backend or LOCATION OVERVIEW to see everything.
