External Results: bring outside reports into Mobaro with the API

What External Results are, how to send a file as a Result through the Mobaro API, and how to find, open and correct them in the Backend.

Overview

An External Result is a file from outside Mobaro, such as a scanned paper checklist or a contractor’s inspection report, stored in Mobaro as a Result record. You can link it to a Checklist, Schedule, Location, Asset and User and give it the time it was answered, so the outside record sits next to your Mobaro Results.

External Results are created only through the Mobaro API, typically by an integration or script. In the Backend you find, open and download them under Results › External Results, and Super Users can correct their details.

⚠️ Heads-up: The External Results add-on only controls the External Results page. The API accepts External Results whether or not it’s enabled, so files your integration sends before the add-on is on are stored, but nobody can see them in the Backend until it is.


How External Results differ

An External Result is a file with some details attached, not a completed Checklist. That means:

  • Separate list: it isn’t in Results, Result exports, Dashboards, reports or the Public API’s Results endpoints, and it doesn’t fire Results webhooks.

  • No effect on Schedules: linking a Schedule doesn’t complete a slot or clear a missed Result. See How to handle missing Results.

  • No answers, approval or deviations: there’s nothing to validate, approve or trigger from.

  • Can’t be deleted: there’s no delete option in the Backend or the API, so check what your integration sends before you go live.

To attach a document while completing a Checklist in the app, use a File Question instead.


Send External Results via the API

Send a multipart/form-data request to POST https://app.mobaro.com/api/customers/results/external with your API key in the x-api-key header. The key must not be Read-only. See Getting started with the Mobaro API.

The response contains the new record’s id. A request without a file is rejected with 400, a Read-only key gets 403, and an ID with the wrong prefix, or an Asset without a Location, is rejected with an error message. See Handling errors, rate limits, and retry logic.

⚠️ Heads-up: Mobaro checks that each ID has the right prefix, not that the record exists. A wrong ID is stored as sent and shows as a blank column in the Backend. Look IDs up with the matching GET endpoint first; see Understanding IDs in Mobaro.


Find and open External Results

1. Open External Results

In the Backend, go to Results › External Results. The table shows Id, Checklist, Schedule, Location, Asset, Answered, Received and User, newest received first.

2. Filter the list

Under Filters, narrow the list by time range, Location, User or Checklist. The time range applies to Received and shows all time until you change it. Sort by Id, Answered or Received by clicking the column header.

3. Open and download the file

Select one row and click View (the eye icon), or double-click the row. A dialog opens, titled with the Checklist name (or External Result if none is linked). It shows the file, with Result received and the linked details beside it. Click the download icon (Download PDF) to open the file in a new tab.


Correct an External Result’s details

Super Users can change Answered, Checklist, Schedule, Location, the Asset (once a Location is set) and User in the dialog, then click the save icon (Save Changes). You’ll see Changes saved successfully, or Failed to save changes if it didn’t work. The file itself can’t be replaced. Everyone else sees the details read-only.


Who can see External Results

  • Super Users see every External Result.

  • Other Users must be a member of its Location, directly, through a User Group or through a Location Group. With Results › View they see all External Results at those Locations; without it, they see them only as a Reviewer of the linked Schedule, or as allowed by its Results visible to setting.

  • Without a Location, visibility depends on the linked Schedule’s Assignees and Reviewers; with neither a Location nor a Schedule, only Super Users see it.


Best practices

  • Always send a location, so the right people can see the file.

  • Send answered with the real inspection time; Received only shows when it was uploaded.

  • Use a dedicated API key for the integration that uploads External Results, and test it with one file first, as External Results can’t be deleted.

  • Upload PDFs where you can: they display in the dialog and match the Download PDF button.


Frequently asked questions

Can users attach a PDF report, such as a contractor’s report, when they complete a checklist?

Yes, with a File Question in the Checklist. External Results are different: a whole file sent through the API as its own record. See File Question type.

Can I upload an External Result from the Backend?

No. External Results can only be created through the Mobaro API. The Backend lets you view them, download the file and, as a Super User, edit the details.

I can’t see External Results in the Results menu. Why?

The External Results page is an add-on. Ask your CSM to enable it. Once it’s on, you see only External Results at Locations you have access to, unless you’re a Super User.

Do External Results count towards Schedules or Dashboards?

No. They’re kept apart from Checklist Results, so they don’t complete Schedule slots, appear in Dashboards or reports, or show in Result exports.

How do I delete an External Result sent by mistake?

You can’t in the Backend or the API. Super Users can correct its details. Contact Mobaro Support if it must be removed.
