Overview
Note Types are the categories your teams give Notes — for example Maintenance, Safety or Guest. Each Note gets one Type, so you can filter and report on Notes by Type. A Note Type also decides what happens when a Note is saved: nothing, an approval step, or a new Assignment — and it can email chosen people.
Note Types are organization-wide: every Location uses the same set. This article covers creating, configuring and deleting them. For logging Notes, see Creating and managing Notes.

💡 Why this matters: The Notes menu appears only once at least one Note Type exists, and Note Templates need a Type too. A small, clear set of Types is also what makes Notes searchable later — "show me every evacuation this season" becomes a filter instead of a hunt through free text.
Create a Note Type
1. Open the Note Types table
In the Mobaro Backend, go to Configuration and open the RideOps tab. The Note Types table is on the left.
2. Add the Type
Click + (Create). In the Note Type dialog, enter a Name. Tick Default (will be preselected when creating new notes) if this should be the Type a new Note starts with.
3. Choose the Action and notifications
Under Action, choose what happens when a Note of this Type is saved (see below). Under Notifications, tick Send Notifications if chosen people should get an email. Click Ok.
To change a Type later, select it and click the pencil (Edit), or double-click it. In the table, a lightning icon marks Trigger Assignment, a circled check marks Require Approval, and a check mark on the right marks the Default Type.
Note Type settings
Setting | What it does |
Name | Required. Shown on every Note, in filters and in exports. |
Default | The Type preselected on new Notes in RideOps and the Backend. Only one Type can be the default — ticking it on one Type removes it from the other. |
Action | No Action (the default), Require Approval or Trigger Assignment. A Type has one Action. |
Send Notifications | Emails the Recipients (Users and User Groups) when a Note of this Type is created — but only recipients who are members of the Note's Location. |
No Action: the Note is logged. Require Approval: the Note shows as Unhandled until someone with Notes › Approve approves it. Trigger Assignment: Mobaro creates an Assignment at the Note's Location, named after the Note's Title, and links the two. The Note stays Unhandled until the Assignment is resolved.
Trigger Assignment options
When you choose Trigger Assignment, the dialog shows the settings for the Assignment it creates. The Assignment is created straight away when the Note is saved — nobody confirms it first.
Assignment Definition and Priority (or High priority) for the new Assignment. See Using Assignment Definitions.
Set deadline to a number of Hours or Days after the Note. This overrides the deadline policy in the Assignment Definition; leave it unticked to use the Definition's policy.
Assign to user that created the note, or choose Users and User Groups in Assigned to (Users/User Groups).
Subscribers, who follow the Assignment without being assigned, and Assignment Categories.
⚠️ Heads-up: Changes to a Note Type apply to Notes created afterwards. Notes already logged keep their approval requirement, and Assignments already created aren't changed. If someone later changes a Note's Type, the new Type's Require Approval setting applies, but no Assignment is created.
Delete a Note Type
Select the Type, click the trash icon (Delete) and confirm with Yes. If a Note Template uses the Type, deletion fails with Deletion failed. Note type is used by one or more note templates. Change or delete those templates first — see Setting up note templates.
🛑 Critical: Deleting a Note Type can't be undone. Notes already logged keep the Type's name, but nobody can choose the Type for new Notes. If you delete your last Type, the Notes menu disappears from the Backend. To change a Type's name or behaviour, edit it instead.
Best practices
Keep the set small and distinct — a handful of Types everyone applies the same way beats a long, overlapping list.
Create a Type for each event you'll need to count later, such as evacuations or guest injuries, rather than relying on searching descriptions.
Use Require Approval or Trigger Assignment only for Notes that genuinely need follow-up, so the Unhandled filter stays meaningful.
Assign triggered Assignments and notifications to User Groups rather than individuals, so they stay current as people change roles.
Mark your most-used Type as Default. If you only have one Type, RideOps hides the Type field and uses it automatically.
Frequently asked questions
How do I set Note Types on my RideOps location?
You don't set them per Location. Note Types are organization-wide, in Configuration › RideOps › Note Types, and every Location uses the same set. To offer Location-specific shortcuts, create Note Templates and use Limit to. See Setting up note templates.
How do I change the default note options?
Edit the Note Type you want preselected and tick Default (will be preselected when creating new notes). To pre-fill a Note's Title and Description as well, set up Note Templates for RideOps.
What's the difference between Note Types and Note Templates?
A Note Type is the category every Note must have, and it controls approval, Assignments and emails. A Note Template is an optional RideOps shortcut that pre-fills a Note's Title, Description and Type.
We no longer get emails about notes. What should I check?
Note emails come from the Note Type. Check that its Send Notifications is ticked and the person, or their User Group, is in Recipients. They must also be a member of the Note's Location — other recipients get nothing.
How can we find evacuation events without searching free text?
Create a dedicated Note Type, such as Evacuation, and a Note Template that uses it. Operators pick the template in RideOps, and you filter Notes by that Type.
Can I delete a Note Type?
Yes, unless a Note Template uses it — then deletion fails until you change or delete those templates. Deleting can't be undone; Notes already logged keep the Type's name.
