How to bulk change Assignees and compliance settings on Schedules

Change assignees, reviewers, owners, compliance and result visibility on many Schedules at once — what each bulk action does and its limits.

Overview

Bulk changes update many Schedules at once: who is assigned, reviews and owns them, their compliance settings, who can see their Results, and which master Calendars they inherit. Use them to roll out a policy change — a new reviewer group, a criticality rule — across every Schedule in one pass.

You select the Schedules in the Schedules list and pick a bulk action from the Edit menu. Ad Hoc Slots and master Calendars have similar options, covered at the end.

💡 Why this matters: Editing Schedules one at a time across dozens of Locations is slow and invites inconsistency. A bulk change makes a policy — a new reviewer, a compliance rule — land on every Schedule at once.

There's no bulk change for Checklists (What?), targets (Where?), titles or slots — edit those on each Schedule.


Select the Schedules

1. Open the Schedules list

In the Backend, go to Schedules.

2. Select the Schedules

Click Toggle Multiselect, then tick the Schedules to change. Use search to narrow the list first.

3. Open the Edit menu

With two or more Schedules selected, click Edit (the pencil icon) and choose a bulk action.

Change assignees, reviewers and owners

In Bulk Change Assignees/Reviewers/Owners, choose an Action and pick people in Assignees (Users/User Groups), Reviewers (Users/User Groups) and Owners (Users/User Groups):

  • Add adds them to each Schedule, unless they're already there.

  • Remove removes them from each Schedule where they're present.

  • Replace sets all three fields to exactly what you pick.

Click the save icon. Are you sure? lists the Schedules that will change. If you selected Schedules you aren't allowed to modify, it warns you and changes only the others. Confirm to apply.

🛑 Critical: Bulk changes apply immediately and can't be undone — to revert, you have to run another bulk change. Replace replaces Assignees, Reviewers and Owners together: any field you leave empty is cleared on every selected Schedule. To add a reviewer without touching assignees, use Add.

⚠️ Heads-up: Known issue: if someone you pick for Add is already on a Schedule or Ad Hoc Slot, the people listed after them in that field may not be added to it. After a bulk Add, open a few Schedules to check, or add one User or User Group at a time.


Change compliance settings

Bulk Change Compliance Settings opens Compliance Settings. Each setting starts at Do not change; set only the ones you want to Enable or Disable:

  • Allow early start, with an optional Message to the assignee (optional)

  • Ignore missing results

  • Mark all results as requiring validation, Require correct GPS location, Require timely answer and Require maximum score

  • Require validation on rule deviation — only if your organization has Water Quality functionality

  • Require minimum answer duration, with the duration

  • Critical for Operation — Enable then choose Always, When overdue or When missing; Disable turns criticality off

  • Time Registration — Enable then choose Optional or Required; Disable turns time registration off

  • Require specific competencies — replaces the required Competencies with the ones you pick; Disable clears them — and Restrict access based on required competencies

Click Update selected values, check the summary and click Confirm. Settings that only exist on Calendar Schedules — early start, missing results, timely answer and criticality — are skipped on Continuous Schedules. ℹ️ Note: Compliance and Result Visibility changes are all or nothing: if the selection includes a Schedule you can't modify, nothing is changed. Deselect it and try again.


Change result visibility

Bulk Change Result Visibility opens Result Visibility Settings. Choose Assignees, Performing User or Reviewers Only and click Confirm. The change also applies to the Schedules' existing Results. See Schedule stakeholders: assignees, reviewers, and owners.

Ad Hoc Slots and master Calendars

  • Ad Hoc Slots: in Schedules › Ad Hoc Slots, select two or more to get the same people, compliance and result visibility options, plus Bulk Change Start/Due/End Date. Changing the start date doesn't affect slots that have already started. See How to use Ad Hoc Slots.

  • Master Calendars: in Schedules › Calendars, select several and click Edit to open Bulk Change Calendars, which changes Owners only. See Adding owners to Schedules.


Best practices

  • Search or sort the list first, so you select exactly the Schedules a policy applies to.

  • Use Add and Remove for everyday changes; use Replace only when you mean to reset all three people fields.

  • Read the list on Are you sure? before confirming, especially the warning about Schedules you can't modify.

  • After changing criticality or reviewers, check one Schedule with Results Expected › Show Details — see Verifying a Schedule with Schedule Metrics.


Frequently asked questions

How do I change criticality on many schedules, for example from "When overdue" to "Always"?

Select the Schedules, click Edit › Bulk Change Compliance Settings, set Critical for Operation to Enable, choose Always, then Update selected values and Confirm. To remove criticality, set it to Disable.

How do I add a user group as reviewers on many schedules?

Select the Schedules, click Edit › Bulk Change Assignees/Reviewers/Owners, choose Add, pick the group in Reviewers (Users/User Groups), save and confirm. Remember reviewers also need Results › Validate to approve Results.

Can I add a checklist or location to many schedules at once?

No. Bulk changes cover people, compliance, result visibility and calendar inheritance only. Add Checklists under What? and targets under Where? on each Schedule — see How to schedule a Checklist.
