Getting started with Mobaro

Set up Mobaro as a new Super User: Users, Locations, access, Roles, Library, Checklists, Schedules and the app, with a link to each guide.

Overview

Set up your Mobaro organization in this order: Users, Locations, access, Library content, Checklists and Schedules. Then help your team sign in to the mobile app. Each step links to a detailed guide.

You set Mobaro up in the Backend, the web app you open in your browser at app.mobaro.com. Your team then completes the work in the Mobaro mobile app, and ride operators use RideOps on tablets at the ride.

Set up the basics

1. Create your Users

Add everyone who needs to sign in, in Users. Mobaro doesn't email new password Users their login details, so share them yourself; Users created with Single Sign-On (SSO) get an invitation email. To add many Users at once, ask Mobaro to import them from an Excel sheet. See Create new users in your organization.

2. Create your Locations

Create a Location for each ride, attraction, outlet or area where work happens, in Locations. Schedules, Assignments, Results and reports all hang off Locations. See How to create Locations and Location best practices.

3. Group Users into User Groups

Create a User Group for each team, such as Ride Operators or Maintenance, in User Groups. You then give access and assign work to the group, and new starters only need adding to the right groups. See Create and manage User Groups.

4. Give teams access to Locations

A User is a member of a Location when they're added to it directly, through a User Group, or through a Location Group the Location belongs to. Location membership decides which Locations' Checklists, Results, Assignments and Notes they see. Create Location Groups for areas such as a zone or a park, and add User Groups to them. 5. Set up Roles

A Role decides what a User can do in each Backend area, such as creating Checklists or editing Schedules. Roles apply across the whole organization, not per Location. Give Roles to User Groups rather than to individuals. See Set up Roles to manage permissions. Only Mobaro can make someone a Super User; see Activating a new Super User.

6. Add manuals and videos to the Library

Upload the manuals, documents, links and videos your team needs, in Library. You can link them to Checklist questions so they open right where they're needed. See Creating and managing your Library.

7. Create Checklists

Build your inspections and tasks as Checklists, in Checklists. See How to create a checklist.

8. Schedule the Checklists

Creating a Checklist doesn't make it available to anyone. A Schedule publishes it to the app and sets when, where and by whom it's done. Every Schedule needs a Checklist, a target (Locations or Location Groups) and assignees (Users or User Groups). See What you need before you can schedule a Checklist and How to schedule a Checklist.

🛑 Critical: Assignees who aren't members of a target Location — directly or through a User Group — can't see or complete the Checklist there, even though they're listed on the Schedule. Check Location membership before you rely on a Schedule for a pre-opening or safety check.

9. Get your team on the app

Your team installs the Mobaro app from the App Store or Google Play and signs in with the details you gave them, or through SSO. Their scheduled Checklists then appear under Checklists. See How to download and update the Mobaro mobile app and Quick start guide (mobile).


Add ride operations

If you run rides, set up RideOps so operators can open and close the ride, run pre-opening Checklists, and record dispatches and Downtime on a tablet at the ride. Get help


Best practices

  • Assign work and give Location access to User Groups, not individual Users, so people joining or leaving only means changing group membership.

  • Name Locations and User Groups after how your park is organized, so Schedules and reports read naturally.

  • Start with Roles that grant only what each job needs, and review Users' access when their responsibilities change.

  • Complete a new Checklist yourself in the app before you schedule it for the whole team.

  • Train new staff regularly on the app and on new features.


Frequently asked questions

I scheduled a checklist but my team can't see it in the app. Why?

Usually one ingredient is missing: they aren't among the assignees, they aren't members of the Location, or no slot is open yet. See What you need before you can schedule a Checklist.

How can I bulk upload users?

Ask Mobaro. There's no bulk import in the Backend, but Mobaro can import Users from an Excel sheet for you. Contact Mobaro Support or your CSM. See Create new users in your organization.

Does Mobaro send new users an email when I create their account?

Not for password Users: share their email and password yourself. Users created with Single Sign-On (SSO) receive an invitation email. See Create new users in your organization.

Can I import my existing checklists from a spreadsheet?

No. There's no spreadsheet or CSV import for Checklists; build them in the Checklist editor. If your organization has Import checklist with AI, you can start one from a single photo, scan or PDF. Locations can be imported through the Mobaro API. See How to create a checklist.

I've taken over our account from the previous admin. How do I get the access I need?

Ask Mobaro to make you a Super User. The request must come from an existing Super User or a decision-maker Mobaro has on file. See Activating a new Super User, then follow the steps above.
